Job Title: Executive Assistant (Mid- to Senior-Level)
Position Overview
Evolve Solutions LLC is seeking a highly organized, proactive, and versatile Executive Assistant to support the Chief Executive Officer across a dynamic portfolio of organizations, including a government affairs firm, a halal services and consulting company, and affiliated non-profit organizations.
This is a part-time, contractor position (20 hours per week) requiring an agile professional who excels at managing competing priorities, maintaining strict confidentiality, and navigating diverse professional environments. The role is primarily remote, but requires ongoing, in-person availability for local meetings, events, and essential business operations, based in the Greater Philadelphia area.
Compensation is $35 – $38 per hour, (based upon experience level) paid biweekly. The Executive Assistant will also receive a company-issued laptop and cell phone for business use.
Key Responsibilities
The Executive Assistant will serve as a critical gatekeeper and operational anchor, ensuring the CEO’s daily operations run seamlessly across both digital and physical spaces.
1. Calendar & Schedule Management
- Manage and optimize a complex, fast-changing calendar across multiple entities
- Coordinate, schedule, and confirm high-level meetings with government officials, corporate clients, community stakeholders, and board members
- Protect the CEO’s time by vetting incoming requests and prioritizing urgent matters
2. Communication & Liaison
- Serve as the primary point of contact for internal and external stakeholders
- Draft, proofread, and manage professional correspondence, briefings, memos, and email communications
- Maintain a high level of discretion and diplomacy when handling sensitive political, corporate, and community relationships
3. Operational & Project Support
- Assist in tracking legislative items, client deliverables, and community program milestones
- Prepare meeting agendas, take detailed minutes, and track follow-up action items
- Organize and maintain digital filing systems across various organizations to ensure seamless data retrieval
4. In-Person Operations & Field Support
- Meetings & Briefings: Attend key in-person strategy meetings, legislative sessions, and stakeholder briefings alongside or on behalf of the CEO to take notes and track action items
- Events & Receptions: Provide on-site administrative and logistical support for community events, non-profit programs, and networking receptions
- Business Errands: Execute local operational tasks, document deliveries, supply coordination, and other essential business errands as directed
Qualifications & Requirements
- Experience: Minimum of 4 to 6 years of experience as an Executive Assistant, Operations Coordinator, or similar role; experience working within government relations, corporate consulting, or the non-profit sector is highly preferred; ability to manage responsibilities with minimal supervision is important
- Education: Associate’s Degree required; Bachelor’s Degree in Business Administration, Communications, or a related field preferred
- Mobility & Location: Must be based in the Greater Philadelphia area; a valid driver’s license and reliable access to a personal vehicle are strictly required to handle in-person meetings, events, and errands
- Tech-Savviness: Proficiency in Microsoft Office 365; Google Workspace (Gmail, Docs, Sheets, Calendar) and digital communication tools (such as Asana, MailChimp and Constant Contact) to manage a remote workflow seamlessly
- Adaptability: Exceptional ability to pivot mindset, priorities, and tone when moving between political affairs, specialized business consulting, and non-profit community work
- Communication Skills: Elite written and verbal communication skills with a sharp eye for detail
- Discretion: Absolute integrity and experience handling highly confidential or politically sensitive information
- Stakeholder Management: Proven track record of acting as a seamless gatekeeper and liaison between the executive and high-profile external stakeholders, board members, or government officials.
